Retention Schedule

This Retention Schedule explains how long Protos Digital LTD keeps different categories of personal data used by Observe PRO, why that data is kept, and what happens when the retention period ends.

We keep personal data only for as long as reasonably necessary to provide the service, maintain security, comply with legal obligations, resolve disputes, and operate the app reliably.

Data category Purpose Retention period Action at end of period
Active account data To provide account access, profile functionality, saved events, reminders, and app personalisation. Kept while the account remains active. Deleted or anonymised when the account is deleted, subject to limited backup, security, or legal retention.
Unverified local accounts To allow users who registered with email/password to complete email verification. Up to 30 days from account creation if the account is never verified. Deleted from active systems if verification is not completed within that period.
Email verification tokens and expiry records To verify ownership of an email address and secure local account registration. Until verification is completed or the token expires. Tokens are intended to expire after 24 hours. Deleted or cleared once verification is completed or the token is no longer valid.
Profile location data (city, country, latitude, longitude, timezone) To personalise event timing, visibility, aurora information, and location-based app features. Kept while the account remains active, unless updated or deleted earlier by the user. Deleted when the account is deleted, subject to limited backup retention.
Saved events and reminder settings To power the “My Sky” feature, store user-selected events, and manage reminder preferences. Kept while the account remains active, unless removed earlier by the user. Deleted when removed by the user or when the account is deleted.
Push notification tokens To deliver reminders and optional push notifications to a user’s device. Kept while needed for an active account and active notification use. Deleted when the token becomes invalid, is no longer needed, becomes stale, or when the account is deleted. Stale tokens may be removed after 90 days of inactivity.
Notification timestamps and reminder-delivery markers To prevent duplicate reminders and manage event notification logic. Kept while the related saved event and account remain active. Deleted when the related saved event is removed or when the account is deleted.
Social sign-in identifiers (such as Google account ID) To authenticate users who choose third-party sign-in and link their Observe PRO account. Kept while the account remains active. Deleted when the account is deleted, subject to limited backup retention.
Inactive accounts To support returning users and maintain account continuity. May be retained for up to 24 months of inactivity, unless deleted earlier by the user. May be reviewed for deletion or anonymisation after prolonged inactivity.
Server and operational logs To monitor performance, investigate errors, maintain service security, and troubleshoot issues. Up to 30 days, unless a longer period is reasonably required for a specific security or operational investigation. Deleted, rotated, or overwritten in the normal logging cycle.
Backups To support disaster recovery, restore operations, and maintain service resilience. Up to 35 days in routine backup cycles. Deleted, rotated, or overwritten in the normal backup cycle.
Support, privacy, and deletion request communications To respond to user enquiries, handle deletion/privacy requests, and keep a basic record of completed support actions. Up to 12 months after the request or support case is closed, unless a longer period is required by law or for dispute handling. Deleted or securely archived in line with business and legal requirements.

Notes

In some cases, limited data may remain temporarily in backups or security records after deletion from active systems. Where this happens, we retain it only for as long as reasonably necessary for backup integrity, legal compliance, fraud prevention, or security purposes.
